Customer Service/Sales Assistant


SUMMARY

The Customer Service/Sales Assistant position is responsible for the managing customers' expectations, handling product discrepancies, entering new sales orders, and managing quality reports as they pertain to the sales department.




ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.


  • Resolve Customers' Problems to Completion
  • Expedite and follow-up past due orders
  • Process order changes/cancellations
  • Obtain return material authorization (RMA)
  • Prepare ISO monthly reports for management review
  • Review sales backlog twice a month and report potential problems to sales staff member affected
  • Send customers requested documents
  • Distribute sales emails
  • Answer customer open order reports
  • Enter POs and change orders as needed
  • Call customers when credit cards decline
  • Call customers for freight account numbers
  • Receive in RMAs that are not quality related
  • Send RMA requests to Vendors
  • Process all ecommerce orders




QUALIFICATIONS AND REQUIREMENTS:


To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, competency, and/or ability required.

  • Minimum 1-2 years experience in a customer service role
  • Use Microsoft Office Programs at an intermediate level as well as other basic ability to operate other general computer equipment and office machines
  • Identify and resolve problems in a timely manner; gather and analyze information skillfully; develop alternative solutions; work well in group problem solving situations; use reason even when dealing with emotional topics
  • Write clearly and informatively; edit work for spelling and grammar; vary writing style to meet needs; present numerical data effectively; able to read and interpret written information
  • Speak clearly and persuasively in positive or negative situations, listen and gets clarification, and respond well to questions
  • Successfully work in a team environment

Receptionist


SUMMARY

The Receptionist role is responsible for greeting visitors and directing them appropriately; notifying company personnel of visitor arrival; maintaining security and telecommunications system.




ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.


  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Directs visitors by maintaining employee and department directories; giving instructions.
  • Maintains security by following procedures; monitoring logbook; issuing visitor badges.
  • Opens & distributes mail.
  • Orders food for meetings.
  • Orders office supplies.
  • Filing and other administrative duties




QUALIFICATIONS AND REQUIREMENTS:


To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, competency, and/or ability required.

  • Entry level position, no previous experience required.
  • Use Microsoft Office Programs at a basic level, intermediate preferred, as well as other basic ability to operate other general computer equipment and office machines.
  • Maintain a cheerful demeanor throughout the day when interacting with customers both internal and external.
  • Write clearly and informatively; edit work for spelling and grammar; vary writing style to meet needs; present numerical data effectively; able to read and interpret written information.
